How to edit a scanned PDF for free

A scanned PDF is a picture of a page, so there is no text to edit until OCR (optical character recognition) turns those pixels into real words. In S-PDF's PDF Studio you can do that for free, online in your browser, with no sign-up and no watermark: recognise the text, retype the lines you need to change, and export a searchable PDF.

Is my PDF scanned? Three quick checks

A PDF saved from Word or a web page stores real characters. One from a scanner, copier or phone camera usually stores only an image of each page. To tell which you have:

  • Try to select or search a word. Drag across a line, or press Ctrl+F (Cmd+F on a Mac) and search for a word you can see. If nothing highlights, the page has no text layer. That's the usual reason you can't select text in a PDF.
  • Zoom in. Real text stays crisp at any zoom. Scanned letters turn soft or blocky.
  • Check the file size. Images are heavy, so a few pages weighing several megabytes are often a scan.

PDF Studio also tells you: pick Edit text on a scanned page and it says the page has no text layer and offers to recognise it.

What OCR does, and what it doesn't

OCR is what makes a scanned PDF editable. It reads the image, recognises the letters and adds them to the PDF as a text layer lined up with the page. The page looks the same, but you can now search, select and copy the text, and in PDF Studio edit and redact it too. Know its limits:

  • It isn't perfect. Clean printed text is usually recognised very well. Blur, low resolution, faint print, coloured backgrounds and tiny type lower the accuracy.
  • It reads handwriting poorly. Handwritten notes, signatures and forms filled in by hand are rarely recognised reliably.
  • It doesn't rebuild the layout. You get lines of text in place, not flowing paragraphs, columns or editable tables.
  • It needs the right language. Letters such as é, ß or ñ are read far more reliably with the right document language set.

How to edit a scanned PDF for free in PDF Studio

PDF Studio lets you edit a scanned document online in any modern browser, on Windows, Mac, Linux, Chromebook, iPhone, iPad or Android. It needs no account, and exports are free with no watermark.

  1. Add your scan. Open PDF Studio and drop in the scanned PDF, or photos of the pages (JPG, PNG, WebP, GIF, BMP or TIFF). Each photo becomes its own A4 page; drag pages into order in the page strip. A task can hold up to 10 files and 50 MB.
  2. Open the OCR tool. Choose OCR in the toolbar. In the Recognise text (OCR) panel, set the Document language; there are 34 to choose from.
  3. Recognise the text. Click This page, or All scanned pages for the whole file. Pages that already contain text are skipped, and you can recognise up to 100 pages per task.
  4. Edit the recognised lines. Click Edit the recognised text, then click any line and retype it. PDF Studio covers the old words with a patch in the colour of the paper around them (adjustable under Background) and types your words at the detected size in the ink's colour. Delete everything in a line to remove it; Ctrl+Z undoes a mistake.
  5. Make every page searchable. In the export settings, tick Make scanned pages searchable (OCR) to recognise every page that still has no text (pages you did in step 3 are searchable already). Here you can pick up to three languages for a mixed-language document, and choose Smaller to shrink a heavy scan.
  6. Export. Click Export PDF and download the result. There's no email step and nothing to pay, and the only watermark is one you switch on yourself.

Edit text changes one line at a time and the words around it don't move, so keep each replacement about as long as the original. To rewrite whole paragraphs, convert to Word instead (see below).

Keep your original scan, because exported edits are merged into the pages. For line editing and font matching in digital PDFs, see how to edit text in a PDF.

Small fixes without OCR: whiteout and type

To correct one date, fill in a scanned form or add a signature, you don't need OCR. In Edit PDF, our free single-file editor:

  1. Upload the scan (one PDF, up to 50 MB).
  2. Choose Whiteout and draw over the wrong word or number.
  3. Choose Text and type the correction on top in Sans, Serif or Mono, matching the size and colour.
  4. Add a signature or stamp with Image if needed, then click Save PDF. You can have the file emailed to you, or skip that and download it straight away.

There's no undo button in Edit PDF, but every item can be moved, resized or deleted until you save. On grey or yellowed paper a white patch can stand out; there, OCR followed by Edit text in PDF Studio, which matches the paper colour, is the better tool. For forms, see how to add text to a PDF, including forms that aren't fillable.

Scanned PDF to Word: when it's worth it

To rewrite paragraphs or reuse the text elsewhere, a Word file beats editing a scan line by line. PDF to Word converts the text in a PDF, and a scan has none yet, so recognise it first:

  1. Run the scan through OCR PDF (free, online, up to three languages) to add a text layer.
  2. Convert that file with PDF to Word and edit the .docx in Word, Google Docs or LibreOffice.
  3. Turn it back into a PDF with Word to PDF.

Expect some tidying: the Word file is built for editing, not as an exact copy of the page, so columns, tables and stamps may need fixing by hand. Any word OCR misread arrives misread.

Better OCR results: scan well, rotate and crop first

  • Scan at 300 dpi. That's enough for normal print; go higher only for very small type. Greyscale is fine for text and keeps files smaller.
  • Photograph pages in good light. Keep shadows off the page and hold the phone parallel to it. Scan to PDF turns phone photos into a PDF, and on a computer it shows a QR code so you can shoot with your phone. A straight, evenly lit shot gives OCR the best chance.
  • Rotate and crop before you edit. Turn sideways pages upright with Rotate PDF and trim dark scanner edges with Crop PDF, then open the file in PDF Studio. If you rotate a page inside PDF Studio, Edit text asks you to turn it back before you can change its lines.
  • Proofread names, numbers and accents. Typical slips are 0 for O, 1 for l or I, "rn" read as "m", and missing accents. Check every amount, date and name against the scan.

Scans with personal data: redact, don't whiteout

Scans of IDs, bank statements and payslips often hold details you shouldn't pass on. Whiteout, like the patch behind a retyped line, only covers them; the scanned image underneath still contains them. Redaction in PDF Studio is burned in, so the content is gone for real:

  1. Run OCR on the pages first, so the words in the scan can be searched.
  2. Choose Redact, type a name or number into Find & redact and click Mark all. Every match on every page is marked.
  3. Scroll through and draw boxes over anything the search missed: handwriting, signatures, photos and misread words.
  4. Export, ticking Remove document metadata if the author or title details are private too.

The standalone Redact PDF tool removes content for real as well. While you work, your scans go over HTTPS to our own servers, not to any third-party service, and we don't share, sell or use them. They are deleted automatically, or straight away when you click Delete my files now in PDF Studio.

Frequently asked questions

Can I edit a scanned PDF for free?

Yes. PDF Studio recognises the text and lets you retype it at no cost, with no account, no daily limit, no watermark and nothing to pay at download. Each task can include up to 10 files and 50 MB, with OCR on up to 100 pages.

Why can't I select or search the text in my PDF?

Because the page is an image, usually from a scanner or phone camera, with no characters in it. Run OCR in PDF Studio or OCR PDF and the text becomes selectable and searchable.

How accurate is OCR?

On a clean, straight 300 dpi scan of printed text, most words come out right, but no engine is flawless. Blur, shadows, unusual fonts and the wrong language setting all cause mistakes, so check names, numbers and dates.

Can OCR read handwriting?

Only poorly. To change something handwritten, cover it with Whiteout and type over it in Edit PDF, or redact it if it's private.

Will my changes look like the rest of the scan?

Close, but not identical. PDF Studio matches the text size, the ink colour and the paper behind the line, but your new words are sharp digital text, so zoomed in they look crisper than the scanned letters around them.

Can I edit a scanned PDF on my phone?

Yes. PDF Studio, OCR PDF and Edit PDF work in the browser on iPhone and Android, with nothing to install. You can even skip the scanner: photograph the pages with Scan to PDF, or add the photos straight to PDF Studio.
